Car Accident Cares collects only the information we need to evaluate, treat, and bill for your auto-injury care — primarily what you share through our intake form or over the phone, plus standard website analytics. This page explains what we collect, how we use it, who we share it with, and the choices you have.
Information we collect
Most of the personal information we hold about you comes directly from you when you contact the clinic. We collect:
- Intake-form information — your name, phone number, optional email address, a brief description of your injuries, when the accident happened, and whether you have insurance, an attorney, or another form of coverage.
- Call records — the phone number you call from, the time of the call, and the notes our intake team writes about your case so we can schedule and prepare your visit.
- Website analytics — your IP address, browser / device user-agent, the pages you view, the page that referred you, and a timestamp. We use this to understand which content is helping patients find us.
- Cookies — small files stored by your browser that keep the site working (for example, remembering form state). See Cookies below.
Clinical records created during your treatment (exam notes, imaging, billing) are kept in our clinical systems separately from this website, and are governed by our in-clinic notice of privacy practices.
How we use your information
- To schedule and confirm your appointment.
- To complete intake and prepare your chart before your first visit.
- To coordinate care among the MD, chiropractic, imaging, and pain-management providers in our network.
- For billing and to coordinate with your insurance carrier, MedPay, or — when you direct us to — your attorney's office on a letter of protection.
- To respond to phone calls, emails, and form submissions.
- To monitor and improve the website (aggregate analytics, fixing broken pages, and understanding which content is useful).
We do not sell your personal information, and we do not use it for third-party advertising.
HIPAA, clinical records & website data
Information you submit through this website (for example, an intake form before you have been seen) is treated with reasonable administrative and technical safeguards, but it is not yet part of a formal HIPAA-covered medical record.
Once you become a patient of the clinic, the clinical records we create about your care are protected health information (PHI) under HIPAA and applicable Texas law, and they are governed by the clinic's in-office Notice of Privacy Practices, which you will receive at your first visit.
Who we share information with
- Your attorney — only when you tell us to. If you are represented and want us to coordinate on a letter of protection, we share the records needed to support your claim with the firm you identify.
- Insurance carriers — when you ask us to bill medical insurance, MedPay, or a third-party liability carrier, we share the documentation those carriers require to process the claim.
- Service providers we rely on — for example, Resend (transactional email delivery for contact-form replies) and, if and when enabled, Google Analytics for aggregate website usage. These vendors process limited data on our behalf under their own terms.
- When required by law — for example, in response to a valid subpoena, court order, or regulatory request.
We do not sell personal information, and we do not share it with data brokers.
Your choices and rights
You can ask us to access, correct, or delete the personal information we hold about you through this website by emailing admin@caraccidentcares.com. Requests that relate to clinical records held by the clinic follow the medical-records-request process you will receive at your first visit.
Texas residents may have additional rights under state privacy law. To exercise any such right, contact us using the address above and we will respond within the time the law requires. (Specific Texas statutory references pending legal review before launch.)
Children
The website is intended for adults seeking care after an auto accident. Our services are not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided information through the site, contact us and we will delete it.
How we protect information
We use reasonable administrative, technical, and physical safeguards to protect the information you submit through the website. No internet transmission is ever 100% secure, so we encourage you to call (409) 834-4100 if you would prefer to share sensitive details by phone rather than by form.
Changes to this policy
We may update this policy as our services or the law evolve. Material changes will be posted on this page and the effective date at the top will be updated. We encourage you to review the policy periodically.
